A long response can still leave important questions unanswered. Before replying, compare it with the points you actually raised.

Make a point-by-point comparison

For each issue, record what you asked, what the organisation answered and what is still unresolved. Distinguish an answer you disagree with from a question that has not been answered at all.

Keep your reply focused

Begin with the response date and complaint reference. Acknowledge any useful action or explanation, then list the remaining issues. Link each point to the relevant record and say what you want the organisation to do next.

Useful wording: “Your response addresses the appointment on 12 March. It does not explain why the follow-up reports on 13 and 20 March received no reply. Please address those reports and confirm the next action.”

Check the next stage before escalating

Read the organisation’s current complaints procedure and the next-step information in its response. Routes, eligibility rules and time limits differ. Check the relevant body’s own current guidance before making an external submission.

Keep an eye on deadlines

Do not assume that further correspondence or an enquiry to The Case Consultant pauses a deadline. If the matter involves court action or you need legal advice, contact an appropriately qualified adviser.
